QuickBooks Setup: How We Collaborate Securely

At JAX Financial Bookkeeping LLC, I use QuickBooks Online (QBO) — the leading cloud-based accounting software for small businesses — to keep your books accurate, organized, and up-to-date. This setup allows me to handle your reconciliations, transactions, reports, and more remotely while you maintain full ownership and control of your data.

Everything is secure, encrypted, and compliant with Intuit's standards. No software downloads are required — it works on any device.

If You Already Have a QuickBooks Online Account

Great! The easiest way for us to work together is for you to invite me as your bookkeeper/accountant. This gives me the access I need to manage your books without you sharing your login credentials.

Steps to Invite Me:

  1. Sign in to your QuickBooks Online account at quickbooks.intuit.com.
  2. Click the Gear icon ⚙ (Settings) in the top right corner.
  3. Select Manage users.
  4. Go to the Accountants or Accounting Firms tab (it may say "Accountant users").
  5. Click Invite (or Invite firm / Invite accountant).
  6. Enter my email address: books@qbjax.com
  7. (Optional) Add my name: Christopher Jackson @ JAX Financial Bookkeeping LLC
  8. Click Send invitation (or Send).

I'll receive the invite immediately and accept it. Once connected, your company will appear in my QuickBooks Online Accountant dashboard, where I can securely access and update your books in real time.

Key Notes:

  • You remain the owner — you can view your data anytime and revoke access instantly from the same Manage users screen.
  • I only get the permissions needed for bookkeeping (full access to transactions, reports, reconciliations — but no ability to change your billing or delete the company).
  • Bank feeds and attachments stay connected automatically for efficient work.

If You Don't Have QuickBooks Online Yet

No worries — we can set it up together during our onboarding call!

  • QuickBooks Online is a monthly subscription paid directly to Intuit (plans start around $30–$200/month depending on features like inventory or payroll; I can recommend the right tier for your business).
  • Many qualify for a free trial or discount — I'll help you choose and sign up.
  • Once set up, follow the invite steps above to connect me right away.
  • I'll guide you through initial setup: connecting bank/credit card feeds, importing opening balances, and organizing categories so your books start clean.
